Share by link and download as PDF

There are two ways to hand over a report: the shared link, which the client opens in the browser without an account, and the PDF, for attaching or printing. Both show a frozen copy of the report at the moment you generated it, with only the visible tabs.

Before you start

• Edit permission on the report (agency member, or Admin or Editor on the client). Read-only users see Only report editors can publish or duplicate.
• Hide the tabs the client shouldn't see: the tab's ⋮ menu › Hide.
• Make sure the numbers and text are the way you want them. What goes into the link is frozen.

Create and copy the link

   Click Share link

   Relator freezes the report, creates the link and tries to copy it to the clipboard. The Shared link window opens with the address, Copy link and Open.

   Send the link

   Paste the link into the client's email or WhatsApp. The panel now shows Link active, and the report appears in the list's Shared tab.

Update or revoke the link

• Update and copy link: freezes the report again with the current content and generates a new link. Use it after editing. Send the new link to the client.
• Revoke link: the active link stops working immediately. Anyone trying to open it can't see the report anymore.
• The link expires 30 days after it was created. To keep sharing, generate it again.

Download the PDF

   Click Generate PDF

   In the Actions panel, under PDF, click Generate PDF. The button shows Generating PDF… while the file is prepared. It can take a few seconds.

   Download the file

   When PDF ready to download appears, click Download PDF. The PDF comes out in A4 pages, with the report's theme and only the visible tabs.

In read mode

When you open a report from the list, it shows in read mode with the actions at the top: Create link (or Copy link when one exists), Revoke, Schedule delivery, Generate PDF and Regenerate data. On a phone, one action stays visible and the rest go into the More menu.

What the client sees

• The visible tabs, with the cover, logos, numbers and RelatorAI text from the moment the link was created.
• A notice that the link shows a snapshot of the report and should be shared only with authorized people.
• The Print / save as PDF button, so the client can save a copy.
• Outdated AI text is rewritten automatically in the copy that goes to the link and the PDF.

Common problems

• The client sees old numbers

  Cause

  The link is a frozen copy.

  Fix

  Click Update and copy link and send the new link.

• The link doesn't open anymore

  Cause

  It was revoked or is older than 30 days.

  Fix

  Generate a new link in the Actions panel.

• A tab is missing from the PDF

  Cause

  The tab is hidden.

  Fix

  In the tab's ⋮ menu, click Show and generate the PDF again.

• Could not generate the PDF.

  Cause

  Temporary failure.

  Fix

  Click Try again. If it keeps happening, contact support.
