Scheduling emails the report on the date and time you choose, repeating at the frequency you set. For each delivery, Relator updates the numbers for the period that just closed, asks RelatorAI for new text and, if you want, waits for your approval before sending.

Before you start

  • A plan with scheduled reports: Pro, Scale or Enterprise. During the free trial the feature is also available. On Starter the panel shows Unlock scheduling.
  • Permission to edit the report (agency member, or Admin or Editor on the client). Read-only users see Only report editors can schedule deliveries.
  • The email addresses of the recipients (up to 20 per schedule).
  • A finished report: the delivery uses the document as it is at sending time.

Step by step

  1. 1
    Step 1

    Open the Automation panel

Open the report in the editor and click Automation in the right-hand bar. In read mode, the Schedule delivery button opens the same form.

  2. 2
    Step 2

    Choose frequency, day and time

Fill in the cadence grid. The top of the panel shows, live, the Report period of the next delivery, the Comparison and the Next delivery with weekday, date and time.

    • Frequency: Daily, Weekly, Every two weeks, Every three weeks, Monthly, Every two months, Quarterly or Yearly.
    • Delivery day: hidden for daily; a weekday for the weekly ones; day 1 to 28 for the monthly ones; month and day for yearly.
    • Time: in 30-minute steps.
    • Time zone: search by city or time zone. The default is the client's time zone.

    Step 3

    Decide on review

    Under Review, choose:

    • I want to review before sending (default): the report is generated at the scheduled time and waits for your approval. An unreviewed report is not sent.
    • Send without my review: the report goes straight to the recipients at the scheduled time.
  4. 4
    Step 4

Decide what to do with data issues

Under Data issues, which applies to deliveries without review:

    • Don't send until I review the issues (default): if one of the report's sources failed, is stale or has no data for the period, the delivery is held for you.
    • Send even with issues: the report goes out on time, with the affected blocks flagged.
  5. 5
    Step 5

    Choose notifications and period

Under Notifications and period, check what makes sense:

    • Notify me when the report is delivered: you get a notice once every recipient has received it.
    • Disable period switching: people opening the link can't change the report dates.
    • Always use the period …: every delivery repeats the document period instead of moving forward with the date. Only appears when the document has a set period.
  6. 6
    Step 6

    Add the recipients

Under Recipients (By email), type an address and click Add. You can paste a list separated by commas, semicolons or line breaks. Anything that isn't an email stays in the field with the Not an email warning.

What the client receives

  • An email with the subject "Client name — Report title" and an Open report button.
  • The button opens the public link of that delivery's report, with the visible tabs. No login needed.
  • The email text is in the report's language.

Pause, edit and delete

  • With a saved schedule, the Schedule picker at the top of the panel switches between them. New schedule starts another one (for example, a weekly one for the team and a monthly one for the board).
  • Change whatever you need and click Save changes.
  • Pause stops deliveries: the panel warns This schedule is paused: nothing goes out until you resume it. Click Resume to restart.
  • Delete asks for confirmation. Upcoming deliveries stop going out; reports already sent stay available.

Frequently asked questions

Can I send to people outside Relator?

Yes. Recipients don't need an account. They get the email with the button to open the report.

Is the PDF attached to the email?

No. The email has an Open report button that opens the link. From the link, the person can print or save as PDF.

Can I have more than one schedule on the same report?

Yes. Use New schedule in the Automation panel. Each one has its own frequency and recipients.

Is the RelatorAI text rewritten for every delivery?

Yes. Each delivery updates the numbers for the new period and rewrites the AI text. The document you edit doesn't change.

Do scheduled deliveries use AI credits?

No. The narrative for scheduled deliveries doesn't count toward your plan's message limit.
